Introduction

Rec-On ("we", "us", or "our") operates a Discord-integrated recruitment management service. This Privacy Policy explains what information we collect when you use the Rec-On bot or website, how we use it, and your rights regarding that information.

By adding the Rec-On bot to your Discord server or using our services, you agree to the collection and use of information as described in this policy.

Information We Collect

We collect the minimum information necessary to provide the Rec-On service. This includes:

• Discord Guild Data — Server ID, server name, and channel/role IDs you configure during setup.
• Discord User IDs — Numeric user identifiers of members who submit applications, recruiters who issue codes, and staff who take actions. We do not collect usernames, email addresses, or profile pictures.
• Application Data — In-game names and IDs submitted by applicants through the bot's application modal.
• Action Logs — Timestamps and actor IDs for all recruitment actions (submissions, confirmations, approvals, rejections).
• License Data — Guild ID associated with your license key, plan type, and license status.
• Contact Information — Email addresses provided voluntarily when contacting support at support@rec-on.online.

How We Use Your Information

We use the information collected solely to provide and improve the Rec-On service:

• To process and manage recruitment applications within your Discord server.
• To enforce license access and plan-based feature restrictions.
• To provide audit logs and history accessible to your server's staff.
• To respond to support requests sent to our email.
• To detect abuse, spam, and violations of our Terms of Service.

We do not sell, rent, or share your data with third parties for marketing purposes. We do not use your data to train machine learning models.

Data Storage & Security

All data is stored on servers located in the European Union. We use industry-standard security practices including encrypted connections (TLS), secure credential storage, and access control.

Data is stored for as long as your guild maintains an active license with Rec-On. Upon cancellation, your data is retained for 30 days to allow for recovery, then permanently deleted.

We implement rate limiting, input validation, and audit logging to detect and prevent unauthorized access.

Data Shared with Third Parties

Rec-On does not sell or rent personal data. We may share limited data with the following service providers who process data on our behalf:

• Discord Inc. — We operate as a Discord bot, which means bot interactions pass through Discord's infrastructure. Discord's Privacy Policy governs their handling of that data.
• Cloud Infrastructure Providers — Our hosting provider processes data to run our servers. They have no independent access to your data.
• Stripe, Inc. — For paid plans, payment processing is handled by Stripe. We do not store payment card information. Stripe's Privacy Policy governs payment data.

Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

• Access — Request a copy of the data we hold about your Discord user ID or guild.
• Deletion — Request that we delete all data associated with your guild or user ID.
• Correction — Request correction of inaccurate data.
• Portability — Request your data in a machine-readable format.
• Objection — Object to certain types of processing.

Cookies & Tracking

The Rec-On bot does not use cookies. The website may set a necessary HttpOnly session cookie after Discord login so authorized server managers can open Stripe billing management. We do not use third-party tracking scripts, analytics platforms, or advertising cookies. No cross-site tracking occurs.

Children's Privacy

Rec-On is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it promptly.

Discord's Terms of Service require users to be at least 13 years old. By using Discord and Rec-On, users confirm they meet this requirement.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For significant changes, we will notify server administrators via Discord bot message or email (if provided).

Continued use of Rec-On after changes take effect constitutes acceptance of the revised policy.
